Important : If you plan to defend your thesis before 31 December of the current calendar year, you do not need to re-register : the decree of 19 April 2019 on registration fees in public higher education establishments states that doctoral students who "defend their thesis between 1 September and 31 December of the following academic year do not pay any registration fees for this new academic year".
The academic year runs from 1 September to 31 August. Whatever the date of your first thesis registration, you will lose your student status at the Université Grenoble Alpes on 31 August. You must then re-register as soon as possible to recover your status. This is essential, especially if you have a thesis contract: the legality of your employment contract depends on your status as a student at Université Grenoble Alpes.
The deadline for submitting your re-registration file, in the form of a single document in PDF format, is Friday 25 September 2026.
For re-admission in 2nd year
The first step in re-enrolling is to organise your Individual Monitoring Committee (CSI) with the help of your supervisory team. The procedures for this are described in the Individual Monitoring Committee (CSI) section. We recommend that you organise your meeting in May or June and no later than 30 September 2025. For doctoral students at the end of their first year, you must declare the members of your committee on your ADUM space before 1st April 2026.
The second step will be to complete your thesis monitoring report on your ADUM space from 1st June 2026. This must be done during a meeting with your thesis supervisor, who will have to complete some of the sections themselves (you do not have to complete all the sections yourself). You must then print it out, sign it and have it signed by the members of your supervisory team and by your laboratory director.
Finally, you will need to send the Doctoral School your re-registration file, comprising :
The application for re-admission in 3rd year must include :
- the thesis monitoring report,
- the CSI report,
- the self-assessment form,
- a provisional timetable (indicating in particular the writing period and a provisional date/period for the thesis defence) and
- an outline of your future thesis manuscript (this may be a simple sketch).
Remember to indicate your first and last names on these last two documents, which should be drawn up according to your own model
For re-admission in year 4 and above
This is only granted in exceptional circumstances, by dispensation (except for part-time theses, which can be completed in 6 years).
The application for re-admission in 4th year or more must include :
- the thesis monitoring report,
- the CSI report, - the self-assessment form,
- a copy of the manuscript in its current state of drafting,
- a provisional timetable and
- a letter from the thesis director specifying the reasons for the delay, corrective action and a formal commitment to a defence date.
After validation by the Doctoral School, the registration authorisation will then be sent directly by ED PHYS to the Registrar's Office.
You will then be contacted by e-mail by the administrative registration centre for your 2025/2026 re-registration at UGA.
Re-registration at UGA will be closed on 11 December 2026.
